Incoming inspection for distributor-supplied ink
Drawdowns, retain tins, and a written complaint loop protect both the pressroom and the Hefei warehouse. HuiRun supplies ink; the factory still owns the formula.
Why incoming inspection matters when the seller is not the factory
A distributor warehouse consolidates lots from more than one maker. Labels can be correct and still hide a mix-up between close SKUs. Incoming inspection is how the printer proves what entered the ink room on a given date. It is also how HuiRun proves what left Hefei.
Hefei HuiRun Printing Technology Co., Ltd. is not the reactor floor. Honglu is HuiRun’s registered own brand produced by contracted manufacturing. The agency conventional offset inks we list are made by Furey Smart Plant (LOCOER). Inspection therefore checks identity and workmanship against that maker’s TDS, not against a HuiRun secret specification.
Skip incoming checks and every later complaint becomes a story. Keep a small lab bench habit and the complaint becomes a lot number, a drawdown, and a date. Typical inspection time per process colour lot is minutes, not a full day, if the retain kit is ready.
- Distributor stock can contain more than one factory lot in a week.
- HuiRun is the seller and logistics node, not the ink plant.
- Honglu own-brand still has a contracted manufacturer.
- Inspection compares to the maker TDS, not a HuiRun formula.
- Minutes per lot beat days of argument later.
A drawdown protocol the two sides can repeat
Use a consistent applicator: bar, proofing press, or weighed spatula on the same stock family you will print. Pull from the centre of the tin after a short stir so skin and oil float do not dominate. Typical drawdowns compare the new lot to the retain of the last accepted lot of the same SKU.
Judge masstone, undertone, gloss, and obvious grit. For process colours, a simple side-by-side is enough to catch a wrong-base tin. Spot colours need a target and a delta-E discussion that belongs in the related matching article; incoming still starts with “is this the named SKU?”
Record humidity and a room-temperature note if your bench swings. HuiRun can send a factory drawdown card when the maker provides one. We will not pretend a phone photo of an open tin is a colour standard.
Retain samples and lot identity
Keep a sealed retain from every incoming lot: enough for a second drawdown and a smell check, typically 50–100 g for process inks. Label SKU, lot, inbound date, and inspector. Typical retain life in a cool cabinet is months; agree disposal with your quality procedure.
Photograph or photocopy the tin label and the HuiRun delivery note together. Lot codes on LOCOER / Furey tins follow the factory scheme. Honglu lots follow the contracted plant scheme. If those codes do not match the paperwork, quarantine before the ink reaches the fountain.
HuiRun keeps warehouse retains on the lots we ship from Hefei for a typical window measured in months. That window is a logistics practice, not a legal archive of every gram. If you need a longer hold for a food-pack job, say so on the purchase order.
- Typical retain: 50–100 g, sealed, labelled.
- Match factory lot code to the delivery note.
- Quarantine mismatches before the press.
- HuiRun warehouse retain windows are months, not forever.
- Write extra hold time on food-pack orders.
The complaint loop: evidence before opinion
A usable complaint names SKU, lot, press, stock, symptoms, and whether the retain drawdown already looked wrong. Attach the incoming drawdown and a printed sheet from the job if the defect appeared only on press. “The ink is bad” without a lot is not a loop HuiRun can close with a factory.
HuiRun’s role is to open the warehouse retain, compare it to your retain, and carry the file to the manufacturer. We can replace a mis-shipped SKU from Hefei stock. We cannot reformulate a reactor batch on the phone. Typical first response on a documented lot issue is measured in working days, depending on the brand.
Process defects such as set-off or piling often stay in the pressroom even when the tin matches. Split those from true incoming identity failures. The related supplier-reduction article is about fewer vendors, not about skipping lot checks.
What HuiRun will sign and what we will not
We will sign a delivery note that the tins listed left our Hefei warehouse. We will confirm the manufacturer documents we forwarded. We will not sign a statement that HuiRun manufactured the ink or that we independently certified FDA, EU, or colour delta-E for the factory.
Incoming inspection is shared work. The printer owns the press decision. The factory owns the formula. The distributor owns the chain of custody from warehouse to truck. Typical colour strength windows on conventional offset TDS files sit around 95–105 percent of a maker standard; treat them as maker ranges.
Build the habit before the first dispute. A clean retain shelf and a one-page drawdown form save more time than a long email after the job has shipped. HuiRun will meet that habit with lot-level paperwork, not with a fake factory stamp.

- How should the numbers in this article be used?
- The ranges here are typical shop practice. Confirm them on your press, paper lot, and lamps or dryer. Catalog numbers stay on the data sheet; the signed sheet comes from a trial.
